Achieving a managed print environment couldn't be easier and can be attained in four strategic stages.

 

Stage 1

 

Take our FREE PRINT AUDIT as an example of our commitment to increasing efficiency and saving you money. We will expertly identify the good, the bad and the indifferent within your printing environment.

 

To establish your Total Cost of Ownership, your ZenOffice MPS Consultant will identify the following:

• User analysis
  Understand end user, departmental and organisational requirements by collating feedback and opinions on current print environment and their needs

• Procedures analysis
  Highlight any areas of inefficiencies in toner replacement procedures, servicing and training

• Devices
  Verify the number of print, copy, scan and fax devices along with device information such as make, model, serial numbers, install dates, age, location and floor plans and meter readings

• Set up and maintenance costs
  Identify lease commitments, depreciation costs, parts and labour costs and toners. Additionally we will look at any outsourced print, copy or scanning and any third party fees such as helpdesk or service costs

• Usage rates
  Establish the ratio of black and white versus colour print jobs, jobs printed internally and externally, the number of pages per job, ratio of devices to users etc.

• Energy consumption
  Ascertain the current energy consumption of each device and provide further consumption details at department, location and organisational level

 

Stage 2

 

Based on the initial assessment, the design of your business 'Future State' is very much a collaborative process. Every feature of your print environment is tested before agreement is reached, even important but often overlooked aspects such as bills or review formatting.

 

A detailed plain English roadmap delivers expert advice on how you can get from where you are now (wishing you could cut costs and boost efficiency) to that slick, cost effective and environmentally friendly place you want to be.

We will also provide regular review meetings to ensure that your managed print service achieves further cost efficiencies where possible and continually meet the needs of your growing business.
